How to Respond to Customer Reviews with ChatGPT (Good and Bad)
Paste the review, tell ChatGPT what actually happened and what you’re willing to offer, and ask for a short, calm reply that mentions something specific from the review. For bad reviews, apologize for the experience, don’t argue in public, and invite the customer to continue offline.
The short version
Your reply is read by every future customer, not just the reviewer. ChatGPT helps you stay calm, short and specific, especially when a bad review stings. You give it the facts; it gives you a measured reply.
Step by step
- Paste the review.
- Tell ChatGPT what actually happened, from your side, in a sentence or two. It’s for context only, not to argue in public.
- Say what you’re willing to do: a refund, a replacement, a call with the manager.
- Ask for a short reply that mentions one specific detail from the review.
- Remove anything private (order numbers, health details, the customer’s full name) before you post.

A good review:
Write a short, warm reply (under 50 words) to this 5-star review. Mention the specific thing they liked.
No generic phrases like "valued customer".
[paste review]
A bad review:
Here's a 1-star review:
[paste review]
What happened from our side: [facts]. We can offer: [offer].
Write a calm public reply under 80 words: thank them, apologize for their experience without admitting
things we didn't do, say what we're changing if anything, and invite them to contact [email/phone].
Don't argue or correct them point by point.
A review that’s unfair or fake:
This review seems to be about a different business / someone who was never a customer:
[paste review]
Write a brief, polite public reply saying we can't find a record of the visit and inviting them to contact us.
Example
Review: “Waited 40 minutes for a table even with a reservation. Food was cold.”
A good reply: “We’re sorry, Dana: a 40-minute wait with a reservation isn’t OK, and neither is cold food. We’ve changed how we pace Friday bookings. We’d like to make it right; please email us at hello@example.com.” (with your real details)
Mistakes to avoid
- Arguing publicly. Even if you’re right, future customers see a business that fights its customers.
- Sharing private details. Never confirm health information, order details or anything personal in a public reply.
- Identical replies. Mention something specific from each review.
- Fake reviews. Don’t write or buy them; it breaks platform rules and the FTC’s review rule.
When not to use it
If a review mentions a safety incident, an injury or a legal threat, don’t reply with a quick ChatGPT draft. Talk to your insurer or a lawyer first.
Related: write emails with ChatGPT.
Frequently asked questions
Should I reply to every review?
Replying to most reviews, good and bad, shows future customers you're paying attention. Keep replies short and specific; a copy-pasted 'Thanks for your review!' on every one looks automated.
Can I ask ChatGPT to write fake reviews?
No. Fake reviews break the review platforms' rules, and the FTC's rule on consumer reviews bans fake reviews and can bring penalties. Use ChatGPT to answer real reviews, not to write them.
