Google Gemini Is Already in Your Gmail, Docs and Phone: 6 Ways to Use It

The fastest way to get value from Google Gemini is to use it inside the apps you already have open: summarize long Gmail threads, edit in Google Docs, build formulas in Sheets, ask about your Drive files with @, research with Deep Research, and talk to it with Gemini Live. Some of these depend on your Google plan and country; each guide says which.

Most AI assistants ask you to come to them: open a new tab, paste your text, copy the answer back. Gemini’s advantage is different. It lives inside Google’s own apps, so for millions of people it’s already one click away in Gmail, Docs, Sheets and on their Android phone.

Here are six ways to use it where you already work. Availability differs by plan and country, and Google changes it often, so each guide says what we found on Google’s own help pages.

1. Summarize long email threads in Gmail

Open a long thread and use Summarize this email to get the key points before you read forty replies. When it’s time to answer, Gmail’s Help me write drafts the reply from a short description.

2. Ask about your own files with @

In the Gemini app, type @ and pick Gmail or Drive, then ask: “What did the landlord say about the lease renewal?” It answers from your own email and documents instead of the web.

3. Edit in Google Docs and analyze in Sheets

In Docs, describe the change you want (“make the introduction more concise”) and review Gemini’s suggestions in the document. In Sheets, Ask Gemini for a formula, a chart or a quick analysis, then insert the result.

4. Research with Deep Research

For questions that need dozens of sources, Deep Research shows a research plan you can edit before it starts, then writes a report with sources. Read the plan first: that’s where you steer it.

5. Talk to it with Gemini Live

On your phone, Gemini Live lets you just talk, interrupt, and show it what you’re looking at through the camera. Useful when your hands are busy or the question is easier to show than type.

6. Turn a conversation into something you can use

Canvas turns a chat into a document, slides or a small app beside the conversation, and you can export slides to Google Slides.

One change to know about: Gems become skills

If you built Gems, Google says they become read-only on November 17, 2026 for personal accounts and are removed on December 17, turning into “skills”. Google says it will convert them automatically, but check yours. See create skills in Gemini.

Before you start

Check what Google keeps from your chats: keep your data private in Gemini walks through the Activity settings. Then start with the beginner’s guide, or browse all 20 guides on the Gemini how-to page.
